Privacy notice

Last updated: 29 September 2026

This page explains what happens to information you share with Calibrate when you use the enquiry form on the home page, book a call, or email us directly. Calibrate is a UK-based sole-trader consultancy and acts as the data controller for personal data submitted through this site.

What we collect

When you send an enquiry, you give us:

If you then book a call, the booking calendar also records the time you pick and anything you add to the booking.

We don't set marketing cookies and don't use analytics that fingerprint visitors. Our host, Cloudflare, counts visits with Cloudflare Web Analytics, which sets no cookies and doesn't identify you. Cloudflare's standard server logs record request details such as IP address for a short period to keep the site secure. Our old host, Vercel, still handles requests to calibrate-ai.uk without the “www” and forwards them on.

Where it goes

Enquiries are sent to our form processor, Formspree, based in the United States, which forwards each one to our inbox and stores it on their servers.

Once your enquiry is sent, the page shows a booking calendar from Cal.com, also based in the United States. It only loads at that point, and it opens with your name, email and enquiry already filled in so you don't have to type them again, which means Cal.com receives those details when it opens. If you book, Cal.com stores the booking and emails you the invite. Cal.com may use its own cookies or browser storage inside the calendar to make it work.

Both providers handle UK/EU-to-US transfers under their own privacy policies and standard contractual safeguards.

Lawful basis

We process the data you submit under the lawful basis of legitimate interest — responding to a direct enquiry you initiated — and, where applicable, the steps necessary to enter into a contract at your request.

How long we keep it

Enquiries and bookings are kept while a conversation is active and for up to 24 months afterwards so we can reference earlier context if you return. After that they're deleted. If our conversation leads to a project, project records are kept for 6 years to meet UK tax record-keeping requirements.

Your rights

Under UK GDPR you can ask to access, correct, delete or export any personal data we hold about you, or object to its processing. Email shrav@calibrate-ai.uk with the request and we'll come back to you within 30 days. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO).

Cookies

The site itself sets no cookies and stores nothing in your browser. The only exception is the Cal.com calendar described above, once you choose to open it by sending an enquiry.

Questions? The fastest way is to email shrav@calibrate-ai.uk — we'll normally reply within one or two working days.
